Introduction

Techfest has been an exemplar itself achieving huge feats with unparallel figures ever since its inception in 1998. Techfest has grown in stature, both in terms of its content, as well as its infrastructure and logistics. The overwhelming crowd of such a high magnitude and a world class technological display along with a tinge of enjoyment has made our dream a technological extravaganza. With such vastness and diversity, hospitality of the guests is of paramount importance. Hospitality is often limited in our thinking to being friendly to the new-comer. At this year's Techfest, we are considering a deeper meaning and significance to Techfest welcome to all our visitors. We shall leave no stone unturned in fulfilling your needs of accommodation and security away from home.

Although being a college festival puts many constraints, we at Techfest constantly strive towards the satisfaction of one and all. Along with accommodation facilities for our participants there will also be a cafeteria serving a variety of cuisines satisfying the needs of every palate. We strive to make your stay comfortable and your experience, a memorable one. Hospitality management would be one of the prime focuses of Team Techfest 2013.

Note: Now since we have received your abstracts, you will soon get a mail detailing further procedure to avail accommodation facility.
We will not be providing accommodation to participants of Solar Express, Program'm-able(Wild Card) and Powerless. However for further queries can request to the undersigned via mail.

Instructions

  1. Those carrying their laptops, CPU or similar electronic gadgets will have to declare their belongings at the IIT Bombay Main Gate and get a 'Gate Pass'. Your belongings will be checked on your way out of IIT Bombay and those who fail to produce their Gate Pass may have their belongings impounded.
  2. We shall provide you with mattresses and buckets. However, you are encouraged to carry your own blankets since it might be a little cold at night.
  3. At the time of check-out the participants are required to return all the commodities provided to them to the Techfest 2013.
  4. Random checks would be made to avoid any illegal stay at the campus. Any team failing to produce their receipts of Accommodation would be heavily fined and disqualified.
  5. Entry will be only through the 'Main Gate' of IIT Bombay, all other gates will be closed for entry.
  6. All student participants must carry their valid College photo ID card. Others must bring their valid photo identity for the purpose of entry. People without valid photo identity card will not be allowed inside the campus during Techfest 2013.
  7. Alcohol, drugs, sharp objects and explosives of any kind are strictly prohibited inside the campus. Any other item if deemed unsafe will be prohibited. The decision of Security and Techfest team will be final in case of any disputes.
  8. No outside vehicles will be allowed into the campus during the Techfest 2013.
  9. Techfest 2013 and IIT Bombay will not be responsible for any mishaps that occur through the duration of stay for Techfest 2013.
  10. All those who does not have accommodation inside the campus, will not be allowed to enter the campus after 10pm.

Reaching IIT Bombay

The schedule for the buses arriving at Major railway stations are as follows:

All the stations will have buses for the transport facility to the IIT Powai Campus at 6:30am on 2nd January 2013.
No further transport facility will be made available from stations due to limited availability.

Traveling in Mumbai is very easy and systematic. The modes of traveling in Mumbai are taxi, auto rickshaws, local train and BEST Buses. IIT Bombay is located at Powai, which is an eastern suburb in the North-Eastern part (Central Railway Line) of Mumbai.

Mumbai is in the form of a long narrow island, almost a peninsula, thrusting south wards into the Arabian Sea. In Mumbai, local trains run through the following routes.

  1. Western Railway: Churchgate to Borivali/Virar and return.
  2. Central Railway: Mumbai V.T. to Karjat/Kasara and return.
  3. Harbour Route: Mumbai V.T. to Andheri and return.
  4. New Bombay Route: Mumbai V.T to Vashi/Panvel and return.

Kanjur Marg, a Local Train Station is the closest local train stop to IIT Bombay. It is located on Central Railway Line.

  1. Important railway stations where you can get down are (also refer map):
    • Chattrapati Shivaji Terminal (CST)
    • Church Gate
    • Mumbai Central
    • Dadar
    • Lokmanya Tilak Terminus (LTT), also known as Kurla
    • Thane
    • Borivali
    • Andheri
    • Bandra

  2. Thane is the nearest station to IIT Bombay. Next is Lokmanya Tilak Terminus (LTT) (near Kurla) and Dadar is third in this regard.
  3. The taxis ply through all of Mumbai. Auto rickshaws ply between Bandra-Borivali and Sion-Mulund and should be preferred if you have some heavy luggage, which may otherwise cause you inconvenience while traveling by local trains and buses. In taxis, you are also having option of AC Taxis-Cool Cabs, which is more comfortable way of travel.
  4. Trains/buses should be preferred if you carry less baggage with you, say a small bag per person. Please beware of pickpockets in locals and BEST buses.
  5. Local trains plying from CST, Dadar and Kurla towards Kanjur-Marg generally run less populated in the mornings and medium amount of baggage may be carried. Similar is the case with trains plying from Churchgate and Mumbai Central to Dadar.
  6. Local trains plying from Kalyan and Thane towards Kanjur-Marg are very populated and should be avoided with any kind of baggage. Similar is the case with trains plying from Bandra, Andheri and Borivoli towards Dadar.
  7. For local trains, the nearest local station is Kanjur-Marg, located on Central Railway Line. An auto rickshaw from Kanjur-Marg station to IIT Bombay Main Gate costs Rs.45 approx.
  8. For buses/autorickshaws, the destination should be stated as "IIT Main Gate, Powai".

FAQs

What is the payment procedure?
The payment has to be made at the time you avail your accommodation i.e. when you come to IIT Bombay. The accommodation charges and other details are provided under the tab Acco Charges on the hospitality page. You will have to report at the accommodation desk near the Old Swimming pool with exact change and the mandatory documents. Failing to bring any of the documents may lead to cancellation of your accommodation. The documents are:
  • Printout of the accommodation confirmation mail sent to you.
  • Authorization Letter from your respective institute.
  • Gate Pass for the electronic gadgets you are carrying like laptops, camera, etc


What are the accommodation charges?
The accommodation charges and other necessary details regarding the payment are available under the tab Acco Charges.

How can the participants of competitions of Techfest get accommodation?
The participants who want to avail the accommodation facility provided by Techfest 2013 have to send the abstract of their respective competition on or before 25th November 2012. We will get back to you soon after that to confirm your accommodation.

Can you accommodate the remaining team members of our team?
Since we have limited accommodation, we cannot accommodate any other member of your team now. For the members of your team who are not getting accommodation through us can look for the accommodation in nearby hotels for which the list of alternate accommodation places has already been put up on the website (in the Alternate Acco tab) and the booking and payment for that alternate venues will be done by you at that particular venue only. You need not contact us for alternate accommodation queries. These are just references given for your convenience and we are not responsible for any act of misconduct.

We have confirmed accommodation for more than one competition. Can we accommodate different team members of our team for different competitions?
For those who are participating in more than one competition, if the accommodation for them has been confirmed in more than one competition then they can give the names of different participants for different competition. In this way more members of your team will get accommodated. THE NAME SHOULD NOT BE REPEATED IN DIFFERENT FORMS.

Do we get any food facilities at outside accommodation places?
You can purchase your meals from the hotels or the nearby restaurants.

What will be the cost of accommodation for the participants of competitions of Techfest?
The cost and other details will be updated on the hospitality page of our website very soon.

Will all the team members be given accommodation at the same place?
We will try but there is no surety for the same.

What will be the payment procedure for the accommodation provided by Techfest 2013?
The payment procedure and other necessary details will be conveyed after the accommodation of the participants is confirmed. For further details keep visiting the Hospitality page frequently for updates.

What documents we need to carry to avail accommodation?
College ID card, Authorization letter, Print out of the confirmation mail and gate pass(if you are carrying any electronic gadgets eg: laptops, camera, CPU etc.)

Do we need to pay the accommodation charge for all the team members even if we are getting accommodation for only few members?
No. Accommodation charge will be applicable to only those team members for whom accommodation has been confirmed.

One of our team members who had been provided accommodation is unable to come so can we replace him with our other team member?
Yes, but the person coming should have all the documents that the other member was supposed to have and the person should be of the same team.

What should I do after coming to the campus?
Outstation participants who have registered for accommodation are requested to report to the accommodation desk where the required formalities involving checking of documents, allotment of rooms will be done.

Shall I carry my id card with me?
It is mandatory for all participants to carry college IDs. This is for your own convenience. Moreover you will be asked to produce your college id cards at the time of registration.

What kind of accommodation is provided?
Accommodation is provided on a sharing basis. We have hotel rooms, dormitories and flats for accommodation. Mattresses and other essential commodities will be provided. Girls and boys will be accommodated separately.

What about the canteen?
For our very special guests and participants we set up a huge cafeteria serving a variety of cuisines satisfying the needs of every palate.

What about the hospital facility?
There is an institute Hospital located near the Canara Bank. In case you fall ill, you are advised to report to us at accommodation desk. We shall make appropriate arrangements for you to be treated at the Institute hospital.

What about the security facilities?
IIT Bombay campus has a vigilant and round-the-clock security service. To ensure the safety of the participants, there will be additional security guards in hostels in order to avoid thefts and other mishaps. Although Techfest team will not take responsibility of any theft or other mishaps. So participants are requested to take care of their luggage and valuable items.

Are there ATMs inside the campus?
There are SBI and Canara Bank ATMs inside the campus. There is also an ICICI Bank ATM just outside the campus.

Is there any internal transport keeping in mind the huge area of the campus?
Internal transport will be available at reasonable rates. Also auto rickshaws are usually available in the campus. Bikes are NOT allowed in the campus.

Will there be any kind of transportation facility from airport/railway station to IIT-B campus for participants?
This will be updated on the website after 25th December.

Does the accommodation charges include food facilities too?
No the accommodation charges does not include food facilities. Participants can purchase their meals from the food court, night cafeteria or private hostel canteens.

Where will I get my accommodation?
You might get accommodation outside as well as inside the campus depending upon availability, however all the girls those are confirmed will get accommodation inside the IIT-B campus only.

Can I enter IIT-B campus anytime?
You can enter IIT Main gate anytime by showing valid photo ID proof during 6am to 10pm, however you need to have accommodation inside the campus to stay in the campus after 10pm.

Accommodation Charges

Accommodation to the participants would be provided inside as well as outside institute. Accommodation charges will be same for inside and outside accommodation.
As per the rules, all the female participants will be made to stay inside institute campus only. For all the male participants, accommodation will be given inside as well as outside the campus and as Hospitality Team of Techfest 2013 we reserve this right of accommodation allotment. Charges for accommodation inside or outside the campus: Rs. 1700/- + Rs. 100/- (refundable amount) per head for four days.
Accommodation facility would be made available from 0800 hrs on 2nd of January, 2013 onwards and you would be required to vacate the room on or before 0800 hrs on 6th January, 2013.
NOTE: Accommodation charges will remain the same irrespective of your stay in the above mentioned period.

Refund Policy


  • As a security deposit we are taking Rs 100/- which is refundable for timings listed below.
  • Refund procedure will start from 2330 hrs on 5th January, 2013.
  • For the participants staying inside the institute, refund will be given only till 0800 hrs on 6th January and for the participants staying outside the institute, refund will be given till 1100 hrs on 6th January.
  • The above refund timings are strict and no refund request would be entertained after this. We expect you to follow these very strictly.
  • Refund will be provided on production of Accommodation receipt, Buckets, Mugs etc. provided to you.


NOTE: In case of any discrepancy, decision of Team Techfest 2013 would be final and abide to all.
